Event Cancellation Policy for Vendors
Cancellation by the Organizer:
- If the event is canceled by the organizer, vendors will be notified as soon as possible.
- Vendors will receive a full refund of any fees paid within 30 days of the cancellation notice.
- The organizer is not responsible for any additional costs incurred by vendors, such as travel or accommodation expenses.
Cancellation by the Vendor:
- Vendors must notify the organizer in writing if they need to cancel their participation.
- Cancellations made more than 30 days before the event will receive a 50% refund.
- Cancellations made between 15-30 days before the event will receive a no refund.
- No refunds will be issued for cancellations made less than 15 days before the event.
- If as a result of a double booking by the vendor occurs, no refund will be offered.
Force Majeure:
- Neither the organizer nor the vendor shall be liable for any failure to perform due to circumstances beyond their control, including but not limited to natural disasters, war, or government regulations.
- In such cases, both parties will make reasonable efforts to reschedule the event or participation.
Rescheduling:
- If the event is rescheduled, vendors will have the option to transfer their registration to the new date or apply the fee paid to a future event.
- Vendors must confirm their choice within 14 days of receiving the rescheduling notice.
Communication:
- All cancellation and refund requests must be submitted in writing to info@maitrifoundation.eu.
- The organizer will acknowledge receipt of the cancellation request within 5 business days.
Amendments:
- The organizer reserves the right to amend this policy at any time. Any changes will be communicated to vendors promptly.
